Overview

Ecuador Dance Tours ("EDT," "we," "us") organizes dance-focused cultural programs in Ecuador. By booking a tour, you ("you," "participant," "traveler") agree to these Terms & Conditions.

Eligibility

Open to individuals 18 years or older at time of travel. You must be physically able to participate in daily dance classes and walking at altitude (an average of 15,000 steps per day at ~2,850m/9,350ft).

Pricing, Inclusions & Exclusions

Price includes (varies slightly per tour):

  • 10+ hours of dance instruction per week

  • Assigned local dance partner for program classes

  • Film day recording session

  • Housing in Quito & Weekend Excursion for 2-week tours

  • Dance day breakfasts & lunches; welcome dinner

  • Guided city highlights and scheduled group activities

  • Group coordination, announcements, and on-the-ground support

  • Online community for questions, resources, and pre-trip meetings

Not included: Flights, travel/medical insurance, souvenirs, partner gift, dinners, personal/free-time activities, alcoholic beverages, laundry, phone/SIM/data, incidental transport outside the published itinerary.

Payments & Deposits

  • A non-refundable $500 USD deposit is required to secure a spot.

  • Remaining balance is due by the deadline stated on your booking page (typically 60 days before trip start date).

  • Unpaid balances after the deadline may result in cancellation of your spot without refund beyond the policy window.

Referral Program (Past Attendee Referrals)

EDT may offer a referral program to previous tour attendees from time to time. Under the current referral program:

  • Eligibility: Referral rewards are available only to prior EDT tour attendees who have been issued a valid referral code by EDT.

  • How to use a referral code: The new traveler must enter th referral code at the time they pay their $500 non-refundable deposit. Referral codes cannot be applied retroactively after a deposit is submitted.

  • Referral reward amount: If a valid code is used correctly, the prior attendee may receive a $100 USD referral reward per referred traveler.

  • When referral rewards are earned: A referral reward is earned only if the referred traveler attends and completes the tour in good standing, as determined by EDT in its reasonable discretion.

  • When referral rewards are paid: Referral rewards are paid within 30 days after the applicable tour concludes, using a payment method determined by EDT.

  • When referral rewards may be withheld or reversed: EDT may withhold, deny, or reverse any referral reward if, in EDT's reasonable discretion, the related booking involves cancellation, no-show, early departure, chargeback, payment reversal, refund, fraud or suspected fraud, policy violation, duplicate or self-referrals, misuse of referral codes, if the traveler is removed from the tour or otherwise fails to complete the tour in good standing, or any other activity EDT determines is inconsistent with the intent of the referral program.

  • EDT discretion: The reward amount, eligibility requirements, payment method, and payment timing are subject to change at EDT's discretion. EDT may modify, suspend, or end the referral program at any time, without notice.

  • Latest policy controls: The most current version of this Referral Program policy will always be maintained on this Terms & Conditions page. If there is any difference between earlier versions or participant understanding, the version posted here at the time of referral payout will apply.

  • Referral rewards are not wages, commissions, or employment compensation.

Cancellations & Refunds (Participant)

  • 90+ days before tour: Full refund minus $500 deposit (and any non-refundable processing fees).

  • 60-89 days before tour: 50% refund of payments made (deposit non-refundable) or one-time transfer to a future tour if a spot is available ($150 transfer fee).

  • 0-59 days before tour: Non-refundable. We'll try to transfer your spot to a future tour only if a replacement is found for your existing tour; fees may apply.

Cancellations & Changes by Ecuador Dance Tours

  • If EDT cancels a tour, you may choose (a) a full refund including deposit, or (b) to transfer your payments to a future tour (subject to availability).

  • Itineraries may be adjusted due to weather, safety, vendor availability, or force majeure. We aim to substitute with equal or better value.

Travel Documents & Insurance

  • You are responsible for valid travel documents (passport validity, visas if required) and complying with airline/entry rules.

  • Travel medical insurance is strongly recommended, including coverage for emergency treatment and evacuation. Travel insurance with trip interruption/cancellation coverage is also recommended.

Health, Fitness & Assumption of Risk

  • You acknowledge that dance training, walking at altitude, public transport, bus/van travel, and normal urban risks involve inherent risks of injury or illness.

  • You agree to participate responsibly, follow safety guidance, and disclose relevant medical conditions in advance.

  • If you feel unsafe, unwell or unable to safely participate, you will notify EDT staff promptly.

Third-Party Providers

  • We use independent local providers (studios, instructors, transport, lodging, tours, etc.). They operate as independent contractors, not employees or agents of EDT.

  • EDT is not responsible for acts/omissions of third parties beyond our reasonable control.

Housing, Rooming & Conduct

  • Room type is shared unless a private room is requested and arranged (at an additional cost) and dependent upon availability. All guests receive their own bed, unless otherwise requested (e.g. couples).

  • Respect quiet hours, building rules, and fellow guests.

  • Harassment, aggression, use of drugs, or unsafe behavior may result in removal from the program wthout refund.

  • Maintain professional boundaries with instructors/staff/assigned partners; this is a learning environment.

Schedule Changes & Punctuality

  • Class times and activities may shift; we communicate changes in the group WhatsApp channel while in-country.

  • Please be on time. Late arrivals disrupt group flow and can result in missed activities without refund.

Flights & Missed Services

  • EDT is not liable for costs related to flights (missed, canceled, delayed) or lost tour time resulting from airline issues, immigration delays, or personal schedule changes.

  • We recommend refundable/flexible tickets and adequate connection time as well as travel insurance that can potentially cover the aforementioned situations.

Media Release

  • By attending, you grant EDT permission to capture and use photos/videos/audio of you during the program (including Film Day) for documentation and promotional use, without additional compensation. If you have a serious privacy concern, contact us before booking to discuss options.

Personal Property

  • You are responsible for your belongings. EDT is not responsible for loss, theft, or damage to personal items. Travel insurance is highly recommended for such situations.

Limitation of Liability

  • To the fullest extent permitted by law, EDT's total liability for any claim arising out of or relating to your tour shall not exceed the total amount you paid to EDT for that tour.

  • EDT shall not be liable for indirect, incidental, special, or consequential damages.

Force Majeure

EDT is not liable for failure or delay due to events beyond our conrol (e.g., weather, natural disasters, strikes, civil unrest, public health events, government actions). We will make reasonable efforts to adjust plans or offer alternatives while always prioritizing safety.

Complaints

  • Bring concerns to us immediately so we can address them in a timely manner.

  • For post-tour feedback or claims, email within 14 days of tour end date with relevant information.

Privacy

We collect only the data necessary to operate your tour (e.g., contact details, passport information for logistics, etc.). See our Privacy Policy for full details.

Governing Law & Dispute Resolution

  • These Terms are governed by the laws of the State of Nevada, USA (without regard to conflict-of-law rules).

  • Any dispute will be resolved through binding arbitration in Nevada.

Acceptance

By registering for a tour, you acknowledge you have read, understood, and agree to these Terms & Conditions.
